Projects Overview

So, you have an idea.  You think it’s a pretty good one, but you’re going to need help - approval to spend time on it; money or other resources; help from colleagues above and beyond their normal jobs. Here’s what you should do:

Discuss your idea with your supervisor, a leadership representative and proposed partners/stakeholders. Do they all agree that your idea is a good and they’re willing to support it? If so:

  • Submit your project idea via the project proposal form.  Be as specific and complete as you can about the resources you need.  Once you submit a project idea, the proposal is automatically added to a project proposal ledger and Ken Rose, Director of Project Management, is notified.
  • Libraries’ Leadership team reviews projects at the monthly Directors meetings if there are pending proposals.  
    • If your idea is approved, Ken will reach out to you and work with you to build a a project plan in AirTable or another platform of your choosing.
    • If your project is not approved, a leadership rep will reach out to you to discuss leadership’s decision.
  • When projects are active or recently completed, they are recorded in our Projects Dashboard.

Project Management Office (PMO) Services

  • Project Management: I would serve as project manager from proposal through deliverable. I am fully embedded in the project team
  • Consultant: I would help with project initiation including defining scope, deliverables, milestones and timelines but would not be full project team member. I would still be available if needed at any point during the project.
  • Workflows/Process Improvement: I can look at current workflows and identify ways to streamline and automate processes where possible.
  • PM Training/Airtable Administration: I offer periodic training sessions on project management methodologies/techniques. I can help you get your project started in Airtable and/or work with you to improve and maximize use of its powerful features/automations.

 

Two other notes:

  1. Project milestones and progress are reported to Leadership through AirTable.  If you use AirTable as your project management platform, this reporting rolls up for free.  You are free to use any project management tool you like, but please be aware that we’ll need to create a corresponding project table in AirTable to ensure the project’s milestones and deliverables are represented in the active projects dashboard, and update that project table regularly to ensure project status is accurate in the AirTable dashboard (currently under construction).
  2. If your project creates a new service, please indicate that when Ken Rose reaches out to you to discuss your proposal.  This will give Ken and Jason a heads up that we will need to incorporate a plan to transition your project to a service at the conclusion of the project.
